NHP Team Photo Day Information

Please fill out this form carefully and completely. The information you provide will be used to set up your team’s Photo Day, so please double-check all team and contact information before submitting.

Once we receive your completed form and your Photo Day is officially booked, we’ll create a custom booking link for your team and email it to you.

You’ll simply share that booking link with your parents. From there, families will be able to book their athlete’s Photo Day time, enter their athlete’s information, and complete any required booking details before Photo Day.

IMPORTANT: Please DO NOT share this form with parents. This form is only for the coach, organizer, or team representative setting up the Photo Day.

Parents will receive a separate booking link from you once your Photo Day has been set up.

NHP Team Photo Day

Designed for recreation leagues, youth organizations, and large sports programs, NHP Team Photo Day makes picture day simple, organized, and affordable for everyone.

Every athlete is included in the team photo at no cost. Families who would like individual photos simply reserve a spot with a $25 advance payment.

That $25 isn't an extra fee—it's applied as a credit toward your final photo order, so every dollar goes back to your purchase.

On Team Photo Day, every athlete who does the $25 advance payment will receive:

Individual portraits with multiple poses and multiple background options
An online gallery where families can order only what they love
A variety of print, digital, and specialty product options.

Each team will receive:

A professionally designed team banner at no additional cost
Social media file of team banner

With no upfront package requirements and no minimum purchase, families have the flexibility to choose what works best for them while organizations enjoy a smooth, efficient picture day from start to finish.

Make-Up Policy:

Please choose your Team Photo Day carefully and coordinate with your team before registering. Make-up appointments are very limited, so it's important to select a date that works for everyone.

If your athlete has a known scheduling conflict, please contact us at least 3 weeks before Team Photo Day. Whenever possible, all make-up sessions will be completed before the scheduled Team Photo Day to help prevent delays in gallery delivery and product production.

If your athlete has an unexpected illness or emergency, please notify us within 24 hours of Team Photo Day. We'll do our best to schedule a make-up session at the NHP Studio within 3 days of the original photo date, subject to availability.

Athletes photographed outside of the scheduled Team Photo Day or designated make-up dates will be charged a $50 advance credit. This is not an additional fee—the full $50 will be applied toward their photo order.

Team Photos at NHP Studio in Cortland, Ohio

Bring your team to the NHP Studio for a fun, organized photo experience. Our studio is fully equipped with professional lighting and a streamlined workflow designed to keep Team Photo Day running smoothly. Because sessions take place at our studio, we're able to offer much greater flexibility with scheduling, making it easy to find a date that works for your team year round.

Preferred Photo Date: Please select your preferred Team Photo Day when booking. We'll contact you after registration to confirm availability. If your requested date is already full, we'll work with your team to find another date that fits everyone's schedule.

Shared Team Photo Day

Perfect for individual teams looking for a professional team photo experience without hosting their own event. Multiple teams are scheduled throughout the day at a shared location, making it an affordable and convenient option for travel teams, recreation programs, and smaller organizations.

Shared Team Photo Days are offered throughout Northeast Ohio from January through March, giving teams plenty of opportunities to book a session when we're in their area.

Organization Photo Day

Designed for leagues, schools, and organizations that want a dedicated photo day exclusively for their athletes. We bring our streamlined workflow to your location, photograph every team, and provide a professional, organized experience from start to finish.

CONTRACT

Team & Organization Agreement

1. Entire Agreement

This Agreement contains the entire understanding between Nicki Hufford Photography ("NHP") and the TEAM/ORGANIZATION. It supersedes all prior written or verbal agreements. Any modifications must be made in writing and signed by both parties.

Failure to enforce any provision of this Agreement does not constitute a waiver of any other provision. Any waiver must be made in writing.

2. Cooperation

The TEAM/ORGANIZATION and NHP agree to work together in a professional manner to ensure a smooth and successful photo experience. The TEAM/ORGANIZATION agrees to provide accurate rosters, schedules, and timely communication when requested.

3. Copyright & Image Use

All photographs created by Nicki Hufford Photography are protected by U.S. Copyright Law and remain the exclusive property of NHP.

Purchased digital images may be shared on personal and business social media platforms.

Images may not be altered in any way, including but not limited to:

Applying filters
Heavy cropping
Removing or replacing backgrounds
AI-generated edits or enhancements
Changing colors
Adding graphics, logos, or text
Additional retouching or editing

Only images delivered by NHP may be used. Any altered images must be removed immediately upon request.

4. Limitation of Liability

NHP takes every reasonable precaution in photographing, handling, and processing images. In the unlikely event of loss, damage, or destruction of photographs due to circumstances within or beyond NHP's control, liability is limited to the amount paid for the affected products or services.

If only a portion of the images is affected, any refund will be prorated accordingly.

5. Additional Retouching

Standard editing is included with all images.

Requests for extensive retouching or additional editing beyond NHP's standard editing style may be completed at NHP's discretion for an additional fee beginning at $50 per image.

6. Cancellation & Rescheduling

If the TEAM/ORGANIZATION needs to cancel or reschedule a photo day, NHP must receive at least 30 days' notice.

Rescheduled sessions:

Are subject to NHP's availability.
May be held at the NHP Studio if an on-location date is unavailable.
Are not guaranteed.

No refunds will be issued for cancellations, no-shows, or failure to provide participants on the scheduled date.

7. Props & Equipment

The TEAM/ORGANIZATION is responsible for providing all uniforms, sports equipment, props, and accessories needed for photographs.

8. Location Access & Fees

If the selected location requires permits, admission fees, parking fees, facility rental, or photography permits, the TEAM/ORGANIZATION is responsible for obtaining all required permissions and paying all associated costs.

9. Tardiness

Athletes or teams arriving late may be photographed only if time permits. If the schedule cannot accommodate a late arrival, the athlete or team will be moved to the next available opening, if one is available.

10. Delivery Timeline

Final images are typically delivered within 2–3 weeks following the photo day.

Delivery timelines may be extended due to circumstances including, but not limited to, illness, weather-related delays, or required make-up sessions. If a significant delay occurs, NHP will notify the TEAM/ORGANIZATION.
